Job Title: Human Resources & Administrative Manager

Department: Administration & Human Resources

Reports To: Center Manager

Location: Victoria Island, Lagos

Working Days: 6 days a week (Tuesday – Sunday)

Position Summary

The Admin & HR Manager is responsible for ensuring the efficient day-to-day administration and human resource management of the wellness center. The role oversees administrative operations, facility management, human resources, customer service excellence, vendor management, statutory compliance, and operational coordination across all departments. The incumbent plays a key role in maintaining a professional, organized, and service-oriented environment that supports both employees and clients while contributing to the center’s operational excellence and growth.

Key Responsibilities

1. Administration & Operations

· Manage the overall administration of the wellness center to ensure smooth daily operations.

· Coordinate the activities of all departments, including Front Office, Spa, Medical, Yoga, Housekeeping, Maintenance, Security, Retail, and Support Services.

· Monitor daily schedules, appointments, therapist allocations, and room utilization to maximize operational efficiency.

· Develop, implement, and ensure adherence to Standard Operating Procedures (SOPs) across all functions.

· Maintain, order/purchase office supplies, housekeeping materials, therapy consumables, and operational inventory.

· Handle procurement activities, vendor selection, purchase orders, stock monitoring, and timely vendor payments.

· Manage vendor relationships and ensure quality service delivery.

· Support retail operations by maintaining optimal stock levels, coordinating vendor sales reconciliation, and ensuring accurate inventory records.

· Coordinate maintenance of the facility, equipment, utilities, guest house, and company vehicles.

· Ensure the center consistently maintains high standards of cleanliness, hygiene, safety, and ambience, including lighting, music, aroma, temperature, and overall presentation.

· Coordinate travel arrangements, accommodation, and logistics for visiting trainers, clients and management.

· Prepare administrative reports and monitor operational expenses.

· Coordinate meetings, prepare agendas, record minutes, and follow up on action items.

· Support the planning and execution of wellness programs, workshops, corporate events, exhibitions, and outreach activities.

· Represent the wellness center professionally during external events and promotional activities.

· Interact with walk-in clients, explain wellness services and retail offerings, and support business development initiatives.

2. Human Resources

· Plan and execute end-to-end recruitment, including manpower planning, sourcing, job postings, interview coordination, candidate communication, background verification, onboarding, and induction.

· Ensure seamless employee joining, probation confirmation, transfer, promotion, and exit processes.

· Maintain complete and confidential employee records, contracts, and HR documentation.

· Manage attendance, leave administration, shift scheduling, overtime, and timesheets.

· Coordinate payroll inputs with the Accounts Department, ensuring timely and accurate salary processing and statutory deductions.

· Develop, implement, and update HR policies, SOPs, and the Employee Handbook.

· Coordinate employee orientation, training programs, performance management, and learning & development initiatives.

· Support employee engagement, welfare, recognition, and team-building activities.

· Address employee queries and provide guidance on HR policies, benefits, and workplace practices.

· Handle disciplinary matters, grievances, and employee relations issues in consultation with management.

· Ensure compliance with local labor laws, statutory regulations, and company policies.

3. Compliance & Documentation

· Maintain confidential HR and administrative records with appropriate security and accuracy.

· Ensure timely renewal of business licenses, permits, insurance policies, certifications, and statutory registrations.

· Maintain updated SOPs, policy manuals, contracts, and compliance documentation.

· Coordinate internal and external audits and ensure timely closure of audit observations.

· Ensure compliance with health, safety, labour, and other applicable regulatory requirements.

4. Customer Experience & Service Excellence

· Ensure clients receive exceptional service from arrival to departure.

· Maintain high standards of front-office administration, discipline, and professionalism.

· Monitor customer feedback, analyze service trends, and implement continuous improvement initiatives.

· Resolve customer complaints promptly, professionally, and effectively.

· Coordinate with department heads to enhance service quality and customer satisfaction.

· Foster a warm, welcoming, and professional environment for all members, guests, and visitors.

Qualifications

· Bachelor’s degree in Human Resources, Business Administration, Management, Hospitality, or a related discipline.

· Minimum 10 years of relevant experience in Administration and Human Resources.

· Experience in healthcare, wellness, hospitality, or other service-oriented organizations will be an added advantage.
